哪些句子拯救了你的英文邮件?

怎样能快速写出地道的英文邮件呢?最简单的方法就是先记住一些常用的句型和表达方式,多在自己的邮件里应用。邮件务必讲究简洁精炼,内容无需赘述,多记住几个实用句型,一封格式正确,表达得体的邮件就搞定了。

【1.1开头称谓】

写邮件第一步,首先要搞清楚对方的称谓,怎么称呼收件人。

如果收件人确定,是自己认识的人,一般用Dear+收件人姓名即可。

在不知道是谁负责邮件涉及的事项时,可以用:

To whom it may concern(敬启者)

Dear Sir / Madam,

Dear Professor xx(using last name)亲爱的xxx教授

或者Hi there,Hi all,

【1.2 寒暄和问候】

开头第一句一般是简单的问候,与对方寒暄一下,即salutation.

初次联系:

Nice to meet you! / Nice to have you.

如果以前联系过,有段时间没有联系,可以用:

I hope you are doing well.

I hope you’re having a wonderful day. / I hope you’re having a great week.

It's great to hear from you.

还有一种很常见的问候方式是表达感谢,如果你们已经联系过,可以对对方之前的付出表示感谢,或者单纯感谢对方抽出时间阅读你的邮件。例如:

Thanks for contacting us! /Thank you for reaching out to us!

Thank you very much for the good news, we are happy!

Thanks for the quick response/reply.

Thanks for letting us know.

致歉(如果没有及时回复对方,可以先表达一下歉意):

Sorry for the slight delay in getting back to you.

We apologize for the delay and hope that it doesn't inconvenience you too much. (我们为耽搁回信道歉,希望没有给您带来太多不便)

【1.3开篇介绍自己、表明意图,提出问题或请求】

如果是直接给对方写信,一般在简单问候之后就直接点明来意。

例如:

I am writing to confirm /enquire/inform you... (我写信时要确认/询问/通知你)

可以加入感情色彩,例如“I am delighted/pleased/sorry to inform you that...”

I am writing to follow up on our earlier decision on the xxx. (我写信来追踪我们之前对于xxx的决定)

With reference to our telephone conversation today... (关于我们今天在电话中的谈话)

As indicated in my previous e-mail... /As I mentioned earlier about... (如我在之前邮件中所提到的…/如我先前所说…)

需要对方提供帮助的时候,可以直截了当地向对方提出请求。多用would和if句,多用过去时态,语气会显得更为礼貌。

例如:

It would be nice if you could provide a bit more information on xxx. (您如果能提供一些xxx方面的信息,我将感激不尽)

I would appreciate it very much if you would send me your reply by next Monday. (如果能在下周一前收到您的答复,我将非常感激)

I would really appreciate meeting up if you can spare the time. (如果您能百忙之中抽出时间,我希望能与您见面)

We seek your assistance to cascade this message to xxx. (希望您能将此信息传达给xxx)

如果是给对方的回复,可以用这些句子开头:

I have just this moment received your letter and I am writing at once because…(我此时收到你的来信,便立即写信,因为……)

Your letter of … was duly received(你的……来信已收到)

Your letter came to(reached)me thismorning…(今早收到你的来信)

有些时候只需要非常简短、快速的回复对方:

Ok great, please keep me posted. (很好,请随时与我保持联络)

如果暂时无法回复对方,可以用“get back”:

I will get back to you tomorrow. (我明天再回复你)

当然,你也可以表达不满,比如给客服或服务商写信反映问题,例如:

I am writing to complain about the quality of a product I bought from your website. /the poor service we received from your company.

【1.4附件】

有附件时记得要在正文里说明,最简单的表达“Please find attached…(+附件内容)”,例如:

Please find attached my resume. (我的简历请见附件)

I attached the report/document/ and let me know what you think.

I attached the image/invoice you request.

【1.5结束语】

就结尾来讲,一般都是表达对回信的期待或者是对于整篇邮件的总结。

If you have any further questions, please feel free to contact me. /If you have any questions or concerns, don't hesitate to let me know. ( 如果你有任何问题,请不要客气与我联络)

I hope my clarification has been helpful(希望我的说明是有帮助的)

Than kyou, and I look forward to hearing from you. (较为正式的表达)

如果是沟通交流工作的商务邮件,很可能需要对方对自己的工作提出指正和建议,可以说:

Look forward to your feedbacks and suggestions soon. (期待您的反馈和建议)

Feel free to give your comment. (请随意提出您的建议)

Any comments will be much appreciated. (对于您提出的任何建议,我将深表感谢)

在结束邮件之前,也可以再次感谢收信人并加上些礼貌语结尾。邮件开头的感谢一般是对对方过去的付出表达感谢,而邮件结尾处则是对将来可能的帮助表示感谢。事先表示感谢,能让对方在行动时更主动,更乐意。

你可以用Thank you for your patience and cooperation. / Thank you for your consideration. / Thank you for your attention to this matter.”

这些句子,对对方将来可能给到的帮助表示感谢。

如果邮件里提到可能对对方造成负面影响的内容,可以说”Thank you for your

understanding.”

如果你开头已经感谢过了,结尾可以着重再次感谢对方的付出:

Thank you again for everything you've done. / Once again, thank you all for yourcommitment and support. (再一次感谢大家的承诺及支持)

【1.6 落款】

最后,加上恰当的落款和署名,就可以点发送了。

最常见的落款就是“Sincerely/Sincerely Yours/YoursSincerely”,这是标准的信件结束语,商务、休闲、正式通信都可使用,如果你不确定如何落款,那就用“Sincerely”。

不那么正式的时候可以用:Kind regards, /Best regards ;Best, / All Best, / All the Best

Cheers,/Love, /Best wishes, /Take care, 一般用于朋友熟人之间,语气随意的时候。

当你的邮件是想提供帮助和支持时,也可以用:Hope this helps
